The Beech Tree Inn Policies

WE ARE A NON-SMOKING INN

RESERVATIONS FOR ROOMS & PARKING:

All reservations MUST be guaranteed by credit card - MasterCard, Visa or American Express. All visitors and overnight guests must be announced, and must carry valid ID.

Advanced reservations are necessary for parking, which is available at a rate of $7.00 per night. Parking permits (provided at check-in) must be displayed in dashboards at all times. Parking is permitted in white-lined spaces marked "Inn Guest", only.

RATES:

All rates are subject to 11.7% state/town lodging tax. A complimentary expanded continental breakfast is served from 7 a.m. until 9 a.m. on weekdays and from 8 a.m. until 10 a.m. on weekends. Rates are subject to change based on variables including but not limited to season, day of week, room type,number of occupants, holidays and special events. (Once a credit card has been provided to confirm a reservation and a formal "Reservation Confirmation" or "Reservation Confirmation" letter is issued, the rate quoted in said letter will not change unless the dates, room, and/or number of occupants is changed.) Rates for single to double occupancy rooms range from $99.00 to $199.00 per night, plus tax. Additional overnight guests in double rooms will be accommodated as bed furnishing and fire code permit, must be communicated in advance, and are subject to an additional charge of $20.00 + tax per night.

CHECK-IN:

Check-in hours are 3 p.m. to 8 p.m. Arrivals after 8 p.m. are welcome provided they are arranged in advance and appropriate late entry instructions are communicated and acknowledged. In order to organize housekeeping and ensure we are available to welcome daytime arrivals, we require all guests to provide an estimated arrival time prior to travel. Alternate check-in times outside the hours noted above may be permitted by prior arrangement, only.

CHECK-OUT:

Check-out time is 11:00 a.m.

CANCELLATION POLICY:

Should you need to cancel or revise your stay, we require a 14-day cancellation notice for full refund (or exemption for charge). This notice is required regardless of whether it is the arrival or departure date which is adjusted, and includes "early check out". If notice is received less than 14 days prior to your scheduled date of arrival, you will be charged the full room rate for each night not re-booked.

Cancellations will be acknowledged in a written email message sent to the email address on file for the cancelled reservation. Usually, written acknowledgements are sent immediately following a telephone cancellation, and by end of day in response to an email cancellation. Just as a "reservation confirmation" letter must be sent in order for a reservation to be considered confirmed in our system, a "cancellation confirmation" letter must be sent in order for a cancellation to be confirmed.

PAYMENT SCHEDULE

In light of the cancellation policy described above, we ask that any changes to billing arrangements be requested at least two weeks prior to arrival, at the time payment is committed (absent cancellation and rebooking). Ordinarily, payment is processed within 24 hours of check-in.

TWO NIGHT MINIMUM STAY WEEKEND REQUIREMENT

In most cases, we require a two-night minimum stay on weekends. When existing reservations naturally form a single-night opening in one particular room, or when a room still remains available several days prior to the weekend in question, we may, at our discretion, opt to waive this requirement. Single Sunday night reservations are always permitted (subject to availability).

Guests who receive a confirmation letter confirming a single Friday or Saturday night stay may safely assume that this policy has been waived on their behalf. However, existing reservations for two or more weekend nights can not be "revised" or partially "cancelled" (with or without 14 days notice) in such a way as to over-ride the two-night minimum stay requirement.

GROUPS

Groups occupying three or more rooms for overlapping dates may be subject to different rates, cancellation terms, room blocking and other policies. For our purposes, a "group" is any combination of people who know one another prior to check-in and/or who are in town for a like event, including but not limited to weddings, family reunions, The Charles Regatta and The Boston Marathon. We require that members of any group as defined above disclose said affiliation at the time their reservation is placed, and comply with stated requirements.

MEALS

We offer breakfast each morning and coffee, tea, fruit and pastries throughout the day. We do not serve lunch or dinner, nor do we have available indoor facilities for guest preparation or consumption of additional meals. In fair weather, our patio is available for picnics provided trash is properly disposed of in our outdoor trash barrel. Dozens of cafes and restaurants serving lunch and dinner are located within a 5 - 20 minute walk of the Inn, in nearby Coolidge Corner and Brookline Village.

PETS

Well-behaved small pets are welcome in specified rooms, based on availability, with advance notice and with compliance to our pet policy guidelines.
